Sense 4 Light Photography, located in Zoetermeer and registered with the Chamber of Commerce under number 98945149, is responsible for the processing of personal data as shown in this privacy policy.

1. Personal data we process

Sense 4 Light Photography processes your personal data because you use our services and/or because you provide these data to us yourself (for example via the contact or application form on the website).

Depending on the type of service (photo shoot, model application, or contact request), we process the following data:

• First and last name
• Contact details (email address, telephone number)
• Address details (if necessary for invoicing or location shoots)
• Gender and date of birth (relevant information for model applications)
• Uploaded/provided photos (such as reference photos in model applications)
• Clothing sizes / height (exclusively if applicable for specific concept shoots/styling)
• Other data that you actively provide via messages or forms

2. Special and/or sensitive personal data (Imagery)

As a photography company, we process imagery (photos). Photos in which people are recognizable are classified as personal data under the General Data Protection Regulation (GDPR / AVG).

• Portfolio & Publication: We never publish photos from photo shoots or model applications on our website, social media, or in print without your explicit written consent or a signed agreement (Quitclaim / Model Release / TFP contract).
• Confidentiality of Model Applications: Photos that you submit via the "Models Wanted" form are used exclusively confidentially to assess whether you fit ongoing creative concepts. These photos are never made public or shared with third parties.
• Minors: For photo shoots with persons under 18 years of age, explicit written consent and signature from a parent or legal guardian is always required.

3. Purpose and legal basis for data processing

Sense 4 Light Photography processes your personal data for the following purposes:

• Execution of the agreement: To plan, coordinate, and execute a photo shoot and deliver the final photo files.
• Contact & Communication: To be able to call, email, or message you regarding appointments and questions.
• Assessing Model Applications: To assess whether an application is suitable for specific (TFP) concepts or mood boards.
• Invoicing and Administration: For processing payments and complying with the legal tax administration obligation.

4. Retention periods

Sense 4 Light Photography does not store your personal data longer than strictly necessary:

• Contact form & Email: Maximum of 1 year after the last contact, unless an agreement arises from it.
• Model applications (not selected): Maximum of 6 months after submission, after which the data and photos are permanently deleted.
• Administration & Invoices: 7 years (legal retention period for the Dutch tax authorities).
• Created Photo Files (Archive): Edited final photos are kept in our digital archive for possible re-orders or portfolio purposes (if agreed). You can submit a request at any time to have your photos removed from our archive.

5. Sharing data with third parties

Sense 4 Light Photography never sells your data to third parties. We only provide data if this is necessary for the execution of our agreement with you or to comply with a legal obligation (for example, our accountant or IT hosting company, with whom data processing agreements have been concluded).

6. Cookies

Our website only uses technical, functional, and anonymized analytical cookies that do not infringe on your privacy. These ensure that the website functions properly and loads quickly.

7. Access, correction, or deletion of data

You have the right to view, correct, or have your personal data deleted. You also have the right to withdraw your consent for data processing.
